Office Administrator

We have a fantastic opportunity for an experienced administrator and organiser to work at our Lewisham Clinic. This role is not just about keeping the paperwork straight after things happen but making sure that the correct things DO happen. Working alongside our Clinic Manager you’ll be responsible for managing our existing systems, reviewing and streamlining them and setting up new procedures where needed; so you’ll be a logical thinker and good on process as well as expert on obtaining best value for money.
As part of this role, you will
• make sure that everything that happens in the Clinic is organised efficiently, documented and checked
• assist with all types of ordering from veterinary items to coffee for the staff room
• ensure that all goods ordered are received, checked in, stored and invoiced correctly
• make sure our Charity vehicles meet their schedules for servicing, sort out any PCNs we receive and check that basic driver maintenance tasks are completed
• check that holiday records are accurately maintained and payroll information is collected on time
• help with the induction of new staff
• manage access to stock and control keys
• ensure the rubbish is removed efficiently and at best cost
• discuss payment plans with our clients and be sympathetic to the different needs of the people who use our services
• help with the cashing up and daily reconciliation of the till
• manage the access to all of our IT systems and liaise with our IT partners when things go wrong
• work with other people to redesign our storage and office layout
• check the post and answer the phone, look after our printing needs and make sure we have enough of the right stationery
You will work closely with the Clinic Manager and also our Head Office in East Sussex. If you think we are not doing something in the best way you will make clear recommendations for changes. You’ll also be happy to take a share of general office tasks like tidying and doing the washing up. You may also be asked to take minutes of meetings occasionally and will need to provide ad-hoc administrative support, file and scan and meet and greet.
We are looking for someone with a good academic background, excellent English and Maths and a proven use of IT. You’ll need superb organisational, administrative and clerical skills, a smart appearance and a patient, kind, friendly and helpful face-to-face and telephone manner. You’ll be a problem solver who can get on with your work in a busy environment and be good at prioritising on the go. You will be sympathetic to, and supportive of our charitable aims. A driving licence and your own transport are desirable but not essential. Hours will be 40 per week, normally Monday to Friday 9am-5.30pm, but very occasional weekend working may be required.
