**Job Title:** Area Manager - Greater London
**Location:** Flexible (within the designated Greater London region)
**Job Type:** Full-time
**Report to:** Operations Manager, Directors
**Key Responsibilities:**
1. **Surgery Performance Monitoring:** Oversee daily and weekly performance of all surgeries in the region, ensuring optimal staffing levels, tracking staff absences, and arranging staff redistribution as necessary. Implement the quiet surgery protocol when required and ensure timely submission of reports.
2. **Financial Oversight:** Obtain weekly debt reports from each surgery within the region, ensure proper debt management procedures are in place, and report any increase in outstanding debts to the Directors and the Operations Manager.
3. **VIP Plan Management:** Guarantee efficient operation of the VIP plan across all surgeries, ensuring that they are fully equipped with necessary materials and trained staff. Monitor and expedite the VIP cancellation process and provide relevant reports to the Marketing Manager.
4. **Surgery Presentation:** Ensure surgeries maintain a clean, professional appearance both externally and internally, including reception areas with appropriate marketing materials. Coordinate with the Handyman for necessary maintenance and record all activities on Dropbox.
5. **Protocol Compliance:** Stay abreast of all current protocols ranging from reception to veterinary procedures. Assure adherence by all staff and recommend protocol updates to Senior Management as needed.
6. **Training and Software Management:** Confirm that all staff are proficient in RX Works for tasks such as appointment scheduling and diary management. Work closely with RX Works for optimal software use and troubleshoot any emerging issues.
7. **Inventory Management:** Liaise with the Group Services Manager to follow correct protocols for drug and stock ordering, facilitating efficient stock monitoring.
8. **Marketing Coordination:** Work with the Marketing Team to ensure promotions and recall systems are effectively managed. Inspect marketing tools usage, such as kitten/puppy packs, VIP posters, and client data collection.
9. **Site Visits:** Perform site inspections, focusing on exterior presentation and maintenance needs. Provide support to surgery staff, discussing performance concerns and NPS/KPIs, saving notes from visits to Dropbox.
10. **Staff Management:** Engage in weekly communication with Head Nurses and Clinic Coordinators regarding surgery performance, compiling and circulating reports to Senior Management. Oversee nursing rotas with Head Nurses to prevent conflicts and maintain proper staffing levels.
11. **Social Media Oversight:** Confirm compliance with Facebook protocols and ensure daily, quality posts for each site.
12. **Performance Tracking:** Supervise the collection of KPIs for all surgeries, identifying issues or data inaccuracies.
13. **Insurance and Compliance:** Oversee timely completion of insurance forms and manage the process for reporting on Agria insurance form completion and insured pet growth.
14. **Professional Accreditation:** Cooperate with the Group Services Manager and the Regional Head Nurse on matters concerning RCVS accreditation and nurse training.
15. **Meeting Coordination:** Organize weekly surgery meetings, monthly regional meetings for Vets’ case discussions, and provide catering arrangements (e.g., pizza for meetings).
16. **Customer Service Excellence:** Maintain and enhance customer service standards, focusing on NPS, email response times, waiting times, and medication collection.
17. **Senior Management Communication:** Keep Senior Management informed of all relevant developments via phone and email.
18. **Reporting:** Maintain records for discussion at weekly management meetings and prepare plans for the forthcoming week.
19. **Vendor Communications:** Enforce protocols restricting direct meetings between surgery staff and representatives. Approve all lunch and learn sessions through Senior Management.
**Additional Involvement:**
- Address HR issues, conduct support staff appraisals, and partake in inductions for new hires.
- Participate in recruitment processes for reception and nursing positions, upholding proper interview protocols and completing reference checks.
**Qualifications and Skills:**
- Proven experience in area or regional management, preferably within a veterinary or healthcare setting.
- Excellent organizational and communication skills.
- Strong leadership and team management abilities.
- Acute financial awareness and capability to manage budgets and control debts.
- Detail-oriented with the ability to monitor and ensure protocol compliance.
- Proficiency in using modern management software and systems (e.g., RX Works).
